Sunday December 18th, 2005 -- Interim SCA Intergroup Meeting

Attendees: Mitchell L-G (Chair), Bob E., Todd R., Jeff S., Mike O., John S.

The meeting was called to order at 4:02pm by Chair with a moment of silence and Serenity prayer. Mitchell then read the statement of purpose and the traditions reminder.

OLD BUSINESS
Hosting ISO 2006 Business meeting
John S. – said that the $100 deposit for reserving the upstairs meeting room at Ann Sathers on Belmont was made by Joe S on Wednesday.  John reminded us that this is an expense that will ultimately be picked up by ISO.  It will be $50 for Friday night, $100 for all day Saturday, and $75 for Sunday morning.  This expense could go down depending on the food ordered from Ann Sathers for the event.

The question was asked if there was a requirement for the food to be ordered from Ann Sather’s.  John S. did not know.

Chicago Intergroup is required to buy the food for:
· Friday – Beverages, Coffee, Tea
· Saturday – Beverages, Coffee, Tea, Continental Breakfast, Afternoon Snack, Dessert Saturday night.
· Sunday – Continental Breakfast, Beverages, Coffee, Tea

The social for the ISO weekend is being coordinated by Bob E. and Todd R.  Todd has offered to do the cooking of the entree.  He has volunteered to donate his time and the cost of the pasta and sauce.  He will be making both meat sauce pasta and vegetarian sauce pasta.  Bob E. said that they were considering using the party room in his building for the event.  It would be $50 for the night plus $10.50 an hour for a security guard to man the front door.  The idea for the night is to do a games night, possibly including bingo.  Other locations were offered as suggestions: Second Unitarian on Berry or St. Clemens on Deming.  It was mentioned that it would be helpful to have kitchen facilities.  Bob thought it would be good to ask for food donations from the fellowship.

John S. mentioned that a meeting is being considered before the social event starts.  This is what took place at the Atlanta ISO meeting in February 2005.

Mitchell and Peter M. will be handling billeting.  Mitchell has passed around a sign-up sheet for people who are willing to host an out of town delegate in their home.  It was requested that there be a private space, preferably a spare bedroom, for the delegate.  Mitchell will look into group rates at area hotels as well and have that ready for the January 8th, 2006 Intergroup meeting.

Jeff S. will handle any of the needs for audio / visual needs.  Dave C. from Washington D.C. will most likely facilitate the Saturday morning visioning session.

Ted H. has volunteered to put together a packet of information about traveling around Chicago for out of town delegates.  He will have that for electronic distribution.

Jeff S. presented a draft of the next news letter.  It will focus on using socializing as a tool. 

Jeff S. made a motion that the March Intergroup meeting be moved to Sunday March 12th, 2006 since the normal schedule would have it the same night the ISO business meeting ends.  The motion passed unanimously.

Mike O. mentioned that he was not interested in presenting the majority of the Intergroup reports at meetings anymore.  Volunteers were requested to disseminate the information at meetings.  Mitchell said he would do Monday noon, Wednesday noon, and Thursday night.  John S. said he would do Monday night and Friday night.  Someone will ask Doug D. if he could mention something at Saturday afternoon’s meeting.  Someone will ask Mark M. to mention something at the Tuesday night meeting.

John S. mentioned that maybe a flyer after the new year to get people interested in doing service work at the ISO business meeting will be generated.

It was mentioned that it would be ideal if we could get new group reps to start in January to be ready for the February Intergroup elections.  Mitchell requested that for the January Intergroup we need to again ask for volunteers to disseminate the Intergroup report in meetings. 

Todd mentioned that SLAA has an “emergency kit” that contains several prayers and a meeting list.  He thought it would be good for SCA to do the same.  He will get a copy and bring it to January Intergroup.

John S. said that there was a supplemental check for $114 to be donated to ISO as a result of the donations collected in November.

Jeff S. suggested that the chairs create a year-end summary to present at the January Intergroup.

Jeff S. suggested it would be good to try and do a joint social with SLAA sometime.

Bob E. mentioned that we should add the full name of the fellowships on the All S meeting list in the future.

The meeting was closed at 5:03pm with a moment of silence and the Serenity prayer. The next meeting will be Sunday January 8th, 2006 at 5:30pm at Berry United Methodist.
